The University is implementing Cornerstone, a talent management system branded “Carolina Talent,” which has tools that support the University’s ability to plan for, attract, develop, engage and retain talented employees. What’s a talent management system? It’s a system that gives us tools to manage our careers at the University, plus it gives managers and HR representatives tools for working with employees through all stages of their careers.   The first part of the Carolina Talent system we’ll start using is “My Learning,” the Learning Management System (LMS), which is targeted to go live this summer. During phase one of the implementation, training offered by the Office of Human Resources’ Organization and Professional Development group and LinkedIn Learning content will be available through My Learning. Formal Notice Send Date: November 11, 2022 A Message from the Division of Human Resources and Equal Opportunity and Compliance Hello Tar Heels, At times, staff and faculty need to submit forms that pertain to leave programs such as Family Medical Leave (FMLA), Paid Parental Leave, etc. Starting Monday, Nov. 14, 2022, active employees will be able to submit leave forms and attachments online through ConnectCarolina using the following path: SelfService > My Benefits > Leave > Submit a Leave Document. HR Reps will also be able to submit leave forms and attachments online for employees in their respective school or division. About the new process The only thing changing about leave is how employees will submit their forms. With this new process, leave forms and attachments will no longer be accepted via email. Instead, employees will use ConnectCarolina to submit attachments like: • Leave request forms. • Medical certifications. • Return-to-work forms. • Additional leave-related documents. This new online process applies to leave requests related to: • Personal or family medical situations (FMLA). • Paid Parental Leave. • Voluntary Shared Leave (requests and donations). • Military leave. Currently, managers complete performance plans and evaluations outside of ConnectCarolina, then enter overall performance and competency ratings in the system. Starting in April, a pilot group made up of the Office of Human Resources (OHR) and select departments across campus will use ConnectCarolina for the full process for SHRA employees. Managers and employees in the pilot group will follow the traditional assessment process but will complete the forms in ConnectCarolina instead of using paper forms. These forms include performance plans, off-cycle reviews, an employee self-assessment, and evaluations. Staff participating in the pilot are testing the appraisal process from end-to-end with the goal of the rest of campus using it next year. Representatives from the Employee and Management Relations division of OHR are demonstrating the new process to the pilot groups throughout March.

 Last month we promised you more information about a new tile-based design for ConnectCarolina. Here’s the latest information we can share. First of all, it’s important to know you will still have access to everything you have now, your favorites will still be there and the updated look reduces accessibility barriers that make it difficult for many people with disabilities to use ConnectCarolina. For students, it also means it will be easier on the eyes when they’re using ConnectCarolina on their phones. Want to know more? The design is evolving, but we’ll give you info as decisions are made and work in ConnectCarolina progresses. How Do You Use ConnectCarolina? The reason we can’t paint a complete picture is that we’re still out there talking to ConnectCarolina users across campus. We’re talking to students who use ConnectCarolina to register for classes and check grades. We’re meeting with employees who work in ConnectCarolina everyday and those who only go into ConnectCarolina to check their pay stub. What we hear from them guides us in making the updated ConnectCarolina work better for you. Three changes have been made for the Campus Vendor Request system. Bio-demo information (such as address) is pulled from the Student Administration part of ConnectCarolina. What this means is that you’ll no longer request changes to bio-demo information for employees, students, or affiliates through the Campus Vendor Request system. If changes are needed, the person being set up as a vendor needs to make the changes through the UNC Directory or through the Self Service option in ConnectCarolina. Or, an HR representative who has access to change bio/demo information can make the change. The address listed as HOME address for tax reporting (W-2, 1099. 1098T) is the only address that will be used in the Campus Vendor Request system. You are able to request a new type of vendor class, called an Affiliate Vendor with PID.  You use this vendor class for all persons who are defined as affiliates in the HR/Payroll system (such as hospital employees). Employee banking information is pulled from the Payroll system, so you may no longer request changes through the Campus Vendor Request system. Email Communication Send Date: June 6, 2020 From: ConnectCarolina Communications on behalf of Payroll Services To: HR Representatives Subject: New Payroll Reports 6.4.2020 Hello, Starting Friday, June 5, the HR Reps Dashboard will have two new reports to help you catch any problems with payroll before payroll is confirmed – while there is still time to fix any issues. The two new reports are the Payroll Prelim Report and the Payroll Wage Change Report, and they’re meant to be used together. The Payroll Prelim Report is similar to the report of the same name in InfoPorte. One advantage to using the Payroll Prelim Report on the HR Dashboard is that data is visible on the report in real time. Because it is real time, if there is no information on the payroll in process, that means payroll is currently running so please rerun in an hour. (Keep in mind, if you continue to use the InfoPorte Payroll Prelim Report, the information may not match since InfoPorte is a day behind ConnectCarolina). The new Payroll Prelim Report will also include TIM details that aren’t included in the InfoPorte report. The full position management project was successfully launched on October 11, in large part, because so many people did their part to prepare ahead of time.  Now, every employee has a position in our HR system, including some who weren’t previously in positions, like faculty.  Departments, Schools/Divisions, and the System Office can now see the organizational structure based on position numbers, whether or not there is a person in the position. Here’s a behind the scenes look at the work “by-the-numbers” with a special thanks to HR Representatives and HR Business Analysts and PeopleAdmin Applications Specialists whose work was the foundation of a successful launch. 18,482 Positions created for active employees who didn’t previously have a position. 32,111 Existing SHRA positions moved from paper forms into ConnectCarolina. 18,209 Updates to existing employee job information 24,848 Changes to the “Reports to” field so that every position is reported in organization structure, even if it’s vacant. 5,400,000 Dollars that would have gone into suspense without the work done by HR Representatives ahead of go-live.  In the end, only $105,276 went into suspense when HR Reps updated the information for 712 out of 732 compensated employee appointments. 10.5 Hours worked by each of … Read more

In early spring 2022, a group led  by Mechelle Clayton, Interim AVC of Enterprise Applications, met to discuss ways to simplify the access request process. They started by asking for feedback from campus users, central offices, ARCs, and others so they could understand the pain points and used that feedback to identify requirements and set priorities for changes to the current process and tools. Some of the pain points raised are: Security Roles: There are too many security roles, and descriptions are unclear. Combine roles into groups for easier selection and maintenance. Manual Processes: Current processes are manual. Paper forms and keying data into the system is time-consuming and often lead to errors and missing or conflicting information. Automating assignment of security access for new employees, employee terminations, and employee transfers into new positions would speed up the processes and result in cleaner role assignments. ConnectCarolina keeps moving forward!  The ConnectCarolina HR/Payroll system is moving to an upgraded software version in March. You may remember that the Student Administration application made the move in October, 2017, and the Finance upgrade will likely occur before the end of 2018. There are important security, accessibility and functional reasons for the upgrade but the look of the screens will be very similar to what you see now. You need to know… ConnectCarolina Outage:  Friday, March 2, 5:00 pm until Monday, March 5, 7:00 am During the weekend transition, all ConnectCarolina systems will be unavailable.  Listing all of the specific system impacts here would require you to scroll (a lot). Your best bet for all things related to the HR/Payroll upgrade is to visit the HR/Payroll Upgrade page on CCinfo. You cannot access W-2 forms during the outage.  We realize that the ConnectCarolina outage occurs during tax preparation season so if you need the online version of your W-2 or your paystubs, please download them before 5:00 pm on Friday, March 2. There’s a new retroactive payroll distribution program launching for payrolls beginning with the B16 payroll (pay day February 12, 2021).  This program distributes retro pay, primarily retroactive salary changes, to the latest funding sources on record for that previous cycle and is intended to reduce the number of PAATs campus users need to submit. Please find more details below.  This info will be posted to CCINFO in the coming weeks. Retroactive Pay Distribution Process Currently when an employee receives retroactive pay in a payroll, the pay is distributed to the employee’s current funding sources. Due to this functionality department users need to submit PAAT actions after payroll distribution is complete to move the retro pay to the correct funding sources that were in place during the retroactive work period. We are implementing a custom program to be used during payroll distribution that will identify most retroactive payments and distribute the pay to the funding sources in place during the retroactive work period. The intent of this program is to: Reduce the number of PAAT actions needed when employees receive retroactive pay, like during the Annual Raise Process / Legislative Increase. Improved reporting performance that makes data available earlier in the workday has been achieved through recent changes to the process of copying data from the ConnectCarolina transactional system to the data warehouse for InfoPorte and SAS reporting. Additional performance upgrades are expected soon. Ensuring that the prior day’s transactions are available on InfoPorte and SAS reports as early during the work day as possible is a major goal of the Enterprise Reporting and Departmental Systems (ERDS) team. Improvement in When Data are Available in InfoPorte and SAS Due to recent process changes, the prior day’s data are now available earlier. The InfoPorte main reports are usually ready before business hours, typically before 7:30am. Secondary reports such as BMS are usually ready around 8:45am. This is primarily due to improvements in how ConnectCarolina financial transactions are loaded into the data warehouse. The ERDS team collaborated on this behind-the-scenes effort, devoting weeks to ensuring that ConnectCarolina data was accurately represented in the data warehouse. A recent upgrade of the SAS environment has helped to stabilize that environment. Additional load-time improvements are anticipated by the end of March for reports created in SAS Visual Analytics. Payroll Guide Available: New student employees should complete payroll documentation through ConnectCarolina Self Service. Note: access to Self Service is not available until the hire effective date has been reached and the Hire ePAR has fully executed.  The Payroll Guide for UNC-CH Employees is available to inform employees of Self-Service options in ConnectCarolina. Believe it or not, the HR/Payroll Reporting Dashboard has more than 30 queries for use by HR representatives, including the two new reports we told you about earlier this summer, Payroll Prelim Report and Payroll Wage Change report. That can be a lot of scrolling to find the report you need, and with the possibility of additional queries down the line, the ConnectCarolina HR team created a way to make it easier for you to quickly find the report you need without scrolling. The changes, which will appear later this month, include: Reports reorganized into functional categories such as Data Clean-up, Operations and, Payroll to name a few. See the screenshot below to get an idea of what reports would fall within each category. Reports are alphabetized within each category for quick access. Report categories can be displayed or hidden to keep your screen uncluttered.
