The Faculty Portal, a new ConnectCarolina home page for faculty members, is currently being rolled out, school by school.  The Faculty Portal combines the teaching and research information faculty members use most onto the first page they see when they log in. From one page, faculty members can: access their teaching schedules (which means fewer clicks to print class rosters, email students, create academic progress reports, and enter grades) see the students who have incompletes in their classes see financial information about their contracts and grants (on the new “PI Dashboard”) see approval notifications from research applications such as RAMSeS and ecrt find charging instructions for their salary (that is, funding sources for their salary) access the most commonly-used links for teaching and research as well as as place faculty can add their own links to make the Faculty Portal even more useful. Formal Notice Send Date: November 11, 2022 A Message from the Division of Human Resources and Equal Opportunity and Compliance Hello Tar Heels, At times, staff and faculty need to submit forms that pertain to leave programs such as Family Medical Leave (FMLA), Paid Parental Leave, etc. Starting Monday, Nov. 14, 2022, active employees will be able to submit leave forms and attachments online through ConnectCarolina using the following path: SelfService > My Benefits > Leave > Submit a Leave Document. HR Reps will also be able to submit leave forms and attachments online for employees in their respective school or division. About the new process The only thing changing about leave is how employees will submit their forms. With this new process, leave forms and attachments will no longer be accepted via email. Instead, employees will use ConnectCarolina to submit attachments like: • Leave request forms. • Medical certifications. • Return-to-work forms. • Additional leave-related documents. Currently, managers complete performance plans and evaluations outside of ConnectCarolina, then enter overall performance and competency ratings in the system. Starting in April, a pilot group made up of the Office of Human Resources (OHR) and select departments across campus will use ConnectCarolina for the full process for SHRA employees. Managers and employees in the pilot group will follow the traditional assessment process but will complete the forms in ConnectCarolina instead of using paper forms. These forms include performance plans, off-cycle reviews, an employee self-assessment, and evaluations. Staff participating in the pilot are testing the appraisal process from end-to-end with the goal of the rest of campus using it next year. Representatives from the Employee and Management Relations division of OHR are demonstrating the new process to the pilot groups throughout March.

To:         University Business Managers Research Administration Support Group (RASG) MOU Financial Leads Accounting personnel who use InfoPorte From:   Walter Miller, Interim Payroll Director Subject:  Accurate Salary Projections in InfoPorte As of May 12, you can expect salary and fringe benefit projections to be more accurate in InfoPorte.  The long-awaited changes that will be put in place on Friday complete a series of changes and fixes that have been implemented over the last few weeks.  The biggest improvements you’ll notice are: Contract and grant (OSR) fund projections will be calculated with Project ID budget end dates in mind. The projections will be updated every weeknight (except holidays). For example, if you use a Fund Swap ePAR form to move an employee’s funding to a different grant, the projection for the employee will be updated the night the ePAR executes (when it is fully approved). The system will factor in the caps for Social Security and retirement when calculating projections for highly-compensated employees. Subject: Changes to the Business Process for Future Dated Budget Journals and Transfers Note: You’re receiving this message because you have access to enter budget transfers and budget journals in ConnectCarolina.   From: Henry Price, Budget Planning & Analysis and The ConnectCarolina Team Effective July 1, 2020, we’re changing the business process if you need to update two budget periods (current and future). You’ll need to submit two budget journals so that the budget period and the fiscal year are the same. Starting July 1, you’ll begin the process by creating a budget journal for the current budget period and submitting it. Once submitted, create a new journal, change the date on it to 7/1 of the future budget period, and then submit it. Note: Budgets that were entered for Budget Period 2021 in Fiscal Year 2020 will be reversed and re-entered to the appropriate fiscal year as part of this go-live. You’ll be able to recognize these budget journals by a mask of FYBP on the Journal ID. “If I attend UNC, what Financial Aid package will I receive?” It’s a question that’s always remained unanswered for students and their families for a week, month or more after they receive their admission offer. That’s about to change thanks to a process improvement project led by The Office of Scholarships and Student Aid in collaboration with ITS Enterprise Applications. One of the primary objectives of the project is to make financial aid package information available to prospective students at the same time as they are offered admission. An equally important objective is to automate the processes for packaging financial aid as much as possible. Getting information to prospective students earlier, combined with automating routine work, will give the Enrollment and Scholarships and Student Aid staff more time to focus on their core mission: to help advise students and families so they can have a full Carolina experience and successfully complete graduation. The fiscal year ends on June 30, 2018 and many around campus have been preparing for upcoming deadlines by closing out transactions, processing requisitions and vouchers and more. Remember that there is not one month-end close date for June. It’s actually a series of month-and year-end close dates for different transactions. Vouchers & Journal Entries If you create vouchers and journal entries, June 15th and 22nd are important dates. Make sure that your vouchers and journal entries are error free and fully approved so that they aren’t deleted. All voucher entry (and requisitions and POs) need to be complete by 5 p.m., June 15. Journal entries not approved by departments and the Office of Sponsored Research (when applicable) by the June 22 deadline will be deleted. Did you know that any time we make changes to ConnectCarolina, we go through multiple rounds of testing with groups all across campus? This Finance upgrade is no different. Testing started in July and is continuing through the end of this month.  More than 100 people tested over 5 months. The first testers were staff in ITS-Enterprise Applications. They test to identify bugs and make note of any changes to how the system works or looks. Robin Burke, Business Systems Manager, noticed a new feature, the ability to copy budget transfers, while she was testing and thinks that “campus is really going to like this feature. They’ve been asking for this for a while since they can already copy budget journals.” The second group of testers came from the Finance Central Administrative Offices and the Office of Sponsored Research. They tested to ensure the work they do every day such as entering and approving transactions, running queries, and making sure that the information was recorded correctly in ConnectCarolina and InfoPorte is working properly. The goal of this session is to facilitate a meaningful group discussion for Business Managers and/or their designees on current topics of interest at the University. These topics could include but not limited to changes in PCARD use, Closing of Imprest Checking accounts and use of BofA Reloadable Cards, OSR Prior Approval Request Forms, Research Recharge Center Compliance, Research Admin Training for Staff, Navigating OIC, closeout of projects, and RAM Tracker Transparency project. BuyCarolina went live on August 17 and we decided to check in with some of you who used the tool to make purchases as well as the Business Systems Help Desk to find out how it’s going. Here’s what we found out. What We Heard I like comparing prices and having fewer purchase requisitions- instead of 5 individual purchase requisitions, it’s nice to process and approve just one. Robin Council, Accountant, School of Law I find myself explaining to users that the ConnectCarolina aspect of things hasn’t changed. The only change has been how the catalog looks and the way you maneuver. I usually describe it as a ‘Retail Shopping experience”; You get a cart, place items in this cart, wait in line (the transfer out process of BuyCarolina ), then place the credit card in the machine for purchasing (ConnectCarolina requisition process) so you can leave with the product.
