The Faculty Portal, a new ConnectCarolina home page for faculty members, is currently being rolled out, school by school.  The Faculty Portal combines the teaching and research information faculty members use most onto the first page they see when they log in. From one page, faculty members can: access their teaching schedules (which means fewer clicks to print class rosters, email students, create academic progress reports, and enter grades) see the students who have incompletes in their classes see financial information about their contracts and grants (on the new “PI Dashboard”) see approval notifications from research applications such as RAMSeS and ecrt find charging instructions for their salary (that is, funding sources for their salary) access the most commonly-used links for teaching and research as well as as place faculty can add their own links to make the Faculty Portal even more useful. To:         University Business Managers Research Administration Support Group (RASG) MOU Financial Leads Accounting personnel who use InfoPorte From:   Walter Miller, Interim Payroll Director Subject:  Accurate Salary Projections in InfoPorte As of May 12, you can expect salary and fringe benefit projections to be more accurate in InfoPorte.  The long-awaited changes that will be put in place on Friday complete a series of changes and fixes that have been implemented over the last few weeks.  The biggest improvements you’ll notice are: Contract and grant (OSR) fund projections will be calculated with Project ID budget end dates in mind. The projections will be updated every weeknight (except holidays). For example, if you use a Fund Swap ePAR form to move an employee’s funding to a different grant, the projection for the employee will be updated the night the ePAR executes (when it is fully approved). The system will factor in the caps for Social Security and retirement when calculating projections for highly-compensated employees. Projections will take into account Job End dates As in the past, the system calculates projected fringe benefits and taxes based on each person’s employee group (such as EHRA Non-Faculty or SHRA Permanent) and the type of funding … Read more

Email Communication Send Date: May 1, 2020 From: ConnectCarolina Communications To: Employees with PAAT access Subject: CDME Earn Codes in PAAT As you’re probably aware by now, there are new earn codes and account numbers for premium pay to eligible Communicable Disease Mandatory Employees who are working on-site. Much like longevity, the transactions generated during the payroll process (per the affected hours coded in TIM) will be distributed to the employee’s regular chartfield string, but the account number will be systematically overridden by the new CDME account number for posting.  However, manual entries to those expenses, whether by a Lump Sum payment (CDME OnSite Premium) or a re-distribution via a PAAT action will require you to enter the appropriate CDME account number in the chartfield string, just like you do for manual longevity lump sums or redistributions. In other words, when doing PAAT re-distributions for the CDME premium pay (MOR, MR8, MR9, MOO, MO8, MO9), or Longevity (PRL, LON), your new line should use the appropriate override account number in BOTH the override account and account fields.  Your old CDME Premium Pay or Longevity funding line should be adjusted down to $0.00 as well. See the example provided below. When entering a Fund Swap ePAR, the first page “Step 1 of 3” includes fields for Begin Date and End Effdt.  These two fields should be left blank!   By leaving them blank, the fund swap can populate all of the existing funding grids for that fiscal year for the requested position or appointment.  You can then insert your new funding grid as needed – usually at the top of the grids, but sometimes in-between existing dates such as for retroactive stipend amount changes. Having the historical information displayed on the fund swaps helps: Confirm the correct position/appointment, department, and employee record number record were chosen.  For example,  if there are no historical grids on your fund swap, then perhaps the combination of position/department or appointment/department/ER# entered is incorrect. Confirm the correct employee group was chosen on the first page.  There are different account numbers for different employee groups, so if you get an error message when submitting it may be a result of a mis-matched account/group.  Having the historical grid and accounts may give you a hint as to what current employee group is assigned for that position or appointment.  Here’s a link to the most commonly used personnel codes … Read more

This is a procedure containing the steps for running the Funding End Date Notification Report, a report that shows current and future payroll suspense charges based on current funding. The procedure also describes the information found on the report results, including the reason for the suspense, the employee name, and the amount in suspense.

ConnectCarolina keeps moving forward!  The ConnectCarolina HR/Payroll system is moving to an upgraded software version in March. You may remember that the Student Administration application made the move in October, 2017, and the Finance upgrade will likely occur before the end of 2018. There are important security, accessibility and functional reasons for the upgrade but the look of the screens will be very similar to what you see now. You need to know… ConnectCarolina Outage:  Friday, March 2, 5:00 pm until Monday, March 5, 7:00 am During the weekend transition, all ConnectCarolina systems will be unavailable.  Listing all of the specific system impacts here would require you to scroll (a lot). Your best bet for all things related to the HR/Payroll upgrade is to visit the HR/Payroll Upgrade page on CCinfo. You cannot access W-2 forms during the outage.  We realize that the ConnectCarolina outage occurs during tax preparation season so if you need the online version of your W-2 or your paystubs, please download them before 5:00 pm on Friday, March 2. There’s a new retroactive payroll distribution program launching for payrolls beginning with the B16 payroll (pay day February 12, 2021).  This program distributes retro pay, primarily retroactive salary changes, to the latest funding sources on record for that previous cycle and is intended to reduce the number of PAATs campus users need to submit. Please find more details below.  This info will be posted to CCINFO in the coming weeks. Retroactive Pay Distribution Process Currently when an employee receives retroactive pay in a payroll, the pay is distributed to the employee’s current funding sources. Due to this functionality department users need to submit PAAT actions after payroll distribution is complete to move the retro pay to the correct funding sources that were in place during the retroactive work period. We are implementing a custom program to be used during payroll distribution that will identify most retroactive payments and distribute the pay to the funding sources in place during the retroactive work period. The intent of this program is to: Reduce the number of PAAT actions needed when employees receive retroactive pay, like during the Annual Raise Process / Legislative Increase.
