Hello, We are sending this message as a reminder about changes to pages you may have access to in ConnectCarolina. Please read this information carefully as some of the information has changed from the previous email. Information Technology Enterprise Applications takes its responsibility for securing our employees’ sensitive information (including social security numbers) very seriously. The changes we are making this week will tighten security by limiting the number of places where a social security number (SSN) is displayed and reducing the number of individuals who can see them. To secure this information, many organizations have already abandoned processes that require the use of social security number. Even Medicare is removing the SSN from Medicare insurance cards. Beginning on Thursday, October 11 after 5:00pm, the following changes will be in place: Only central administrative office staff in the Registrar’s Office, Admissions, Financial Aid, Student Financial, and the PID Office will be able to see the information in the National ID/SSN field on any Student Administration pages in ConnectCarolina. If you have been using the SSN as an identifier, please work with your manager to determine other identifiers that are less sensitive. The full position management project was successfully launched on October 11, in large part, because so many people did their part to prepare ahead of time.  Now, every employee has a position in our HR system, including some who weren’t previously in positions, like faculty.  Departments, Schools/Divisions, and the System Office can now see the organizational structure based on position numbers, whether or not there is a person in the position. Here’s a behind the scenes look at the work “by-the-numbers” with a special thanks to HR Representatives and HR Business Analysts and PeopleAdmin Applications Specialists whose work was the foundation of a successful launch. 18,482 Positions created for active employees who didn’t previously have a position. 32,111 Existing SHRA positions moved from paper forms into ConnectCarolina. 18,209 Updates to existing employee job information 24,848 Changes to the “Reports to” field so that every position is reported in organization structure, even if it’s vacant. 5,400,000 Dollars that would have gone into suspense without the work done by HR Representatives ahead of go-live.  In the end, only $105,276 went into suspense when HR Reps updated the information for 712 out of 732 compensated employee appointments. 10.5 Hours worked by each of … Read more

When entering a Fund Swap ePAR, the first page “Step 1 of 3” includes fields for Begin Date and End Effdt.  These two fields should be left blank!   By leaving them blank, the fund swap can populate all of the existing funding grids for that fiscal year for the requested position or appointment.  You can then insert your new funding grid as needed – usually at the top of the grids, but sometimes in-between existing dates such as for retroactive stipend amount changes. Having the historical information displayed on the fund swaps helps: Confirm the correct position/appointment, department, and employee record number record were chosen.  For example,  if there are no historical grids on your fund swap, then perhaps the combination of position/department or appointment/department/ER# entered is incorrect. Confirm the correct employee group was chosen on the first page.  There are different account numbers for different employee groups, so if you get an error message when submitting it may be a result of a mis-matched account/group.  Having the historical grid and accounts may give you a hint as to what current employee group is assigned for that position or appointment.  Here’s a link to the most commonly used personnel codes … Read more

This is a procedure containing the steps for running the Funding End Date Notification Report, a report that shows current and future payroll suspense charges based on current funding. The procedure also describes the information found on the report results, including the reason for the suspense, the employee name, and the amount in suspense.

The process for getting access to reports in InfoPorte is not one size fits all. Some reports require extra security because they show information for departments outside your own or because they show payroll information. It can be challenging to figure out what you need to do for each type of report. Help is on the way. The pages related to system access on the ccinfo.unc.edu website (https://ccinfo.unc.edu/start-here/access) have been expanded, with more information coming soon. Look for new tables that tell you who to go to for Finance, HR/Payroll, and Student Admin reports. InfoPorte Administrators can grant access to some reports, while others require that you work with your Access Request Coordinator (ARC).   New for InfoPorte Administrators: To reduce confusion on how to get access to reports, we are asking that if a request requires that a help request be submitted, you submit the request. In May 2016, after many years of great service, the mainframe computer was shut down, capping a year-long effort to decommission the legacy systems. The good news is that with safety measures in place and far-reaching access to COVID-19 vaccines, the University is planning for a return to in-person, on-campus instruction. Now that we’re back on campus, the ConnectCarolina team, in support of the Registrar’s Office, managed the data collection and coding for class schedules, course details and more to make it easier for faculty to add class information and for students to make scheduling decisions. Modes of instruction Unlike the past year, the default mode — the way a class is delivered — is “In-person” for Fall 2021. A department or school can request an exception to deliver a class remotely or to use a combination of in-person and online. Some exceptions are space constraints due to construction, specific faculty accommodations and Carolina Away or other specialized online degree programs. Instructors use a new page in ConnectCarolina to request one-off exceptions for mode changes, and those requests go to the Senior Associate Deans for approval.
