Good news! If you travel on behalf of the University or incur frequent business meeting expenses, you can look forward to significant improvements to the travel and expense system beginning this summer. For example, if you apply for and receive a UNC Travel and Expense card, you won’t need to pay for most expenses out-of-pocket and wait for reimbursement anymore. Starting February 27, anyone who uses the Microsoft Authenticator app to verify their identity will use a new number matching process.  “Number matching” means that when you go through MFA (multifactor) Authentication, you’ll see a number that you will enter in the Authenticator app to complete the authentication process. This is a change from the “push” notifications in the current Microsoft Authenticator app where you just acknowledge that “you are you” by clicking Yes. Microsoft moved to “number matching” as a key security feature to prevent accidental approvals. New screens Here’s a sneak peek at the number matching Microsoft MFA verification process that you’ll see starting February 27. Step 1: You get a two-digit number on the device you’re signing in on, such as your laptop. Step 2: Open the Microsoft Authenticator app (on your phone or other device). Enter the two-digit number.   Things to keep in mind. You may need to update the Microsoft Authenticator app on your device, depending on how long ago it was last updated. Some managers and employees will be working on mid-cycle and probationary performance reviews in Carolina Talent next month. The Office of Human Resources is syncing up SHRA and EHRA review periods. For EHRA employees, that means the 2021-2022 performance period is shortened to July 1, 2021, to March 31, 2022. Going forward, performance periods will be April 1 through March 31 of the following year for all EHRA Non-Faculty and SHRA employees. Mid-cycle and probationary reviews affect: any employee (and their manager) who received a “Not Meeting Expectations” in the last performance year and, SHRA employees (and their managers) in their probationary period. Probationary reviews need to be completed during each quarter during the months of April, July, October, and January. All documentation for mid-cycle and probationary reviews is completed in Carolina Talent Performance. You can find the Carolina Talent Performance tile on your ConnectCarolina Self Service home page. ConnectCarolina is just one of the systems that Mike Barker oversees in his role as Vice Chancellor for Information Technology and Chief Information Officer. He’s also a ConnectCarolina user and recently, we had a chance to sit down with him and we asked him how and when he uses ConnectCarolina. How Do You Use ConnectCarolina? “I think the last time I used ConnectCarolina was to look at my paystub—to see if the deduction for the “Recreational Membership” to campus recreational/exercise facilities is still being assessed (it was/is). I seem to go in to ConnectCarolina more frequently than one would expect to access my benefits information (this probably says more about my memory than it does anything else). I’ve tended to go directly to TIM for time entry and, on occasions I need to look at some HR or Finance info, to Infoporte. With that said, I find myself going through ConnectCarolina a bit more to get to TIM and Infoporte these days. We’re working to streamline and clarify the process for getting access to ConnectCarolina and InfoPorte. As part of that effort, we have redesigned the form for requesting Finance access, and you can find the new form on Access page on ccinfo.unc.edu.  An updated HR/Payroll form is coming soon, and work is beginning for the Student Admin form as well. Updates to Finance Forms Some of the changes you’ll see on the Finance access forms, especially if you’re an Access Request Coordinator, are: The roles that require training are now marked on the form. You can see what training is required by going to the security role descriptions on ccinfo.unc.edu. A new form allows MOU leads to specify who they would like to give Enhanced Reporting Access to. Enhanced Reporting Access is required for some reports in InfoPorte and for access to the queries in the Reporting environment, among other things. The number of people who have this access is kept small, because staff members who have this access can see information outside their own department. Email Communication Sent February 1, 2023 To: ConnectCarolina administrative users who create purchase requisitions From: Financial Reporting and Management Services Effective immediately, due to the implementation of a new accounting standard GASB 96 – Subscription Based IT Arrangements (SBITAs), two new accounts were set up in PeopleSoft: Account 527261 – Subscription-based software and Account 527262 – Subscription-based infrastructure To ensure proper usage of these accounts, a new category, “UNC00248 – Subscription-based Software/Infrastructure” was established. Selecting this category will prepopulate the account field with 527261 – Subscription-based software. If the requisition is for “Subscription based-infrastructure,” the account should be manually changed to 527262. This new process applies to only new requisitions, users do not need to submit change orders for requisitions already in the system. For further clarification, traditional license software/infrastructure requires a one-time fee to purchase the software/infrastructure, followed by periodic maintenance costs which cover upgrades and patches. If you stop paying for the maintenance, the product will still work but upgrades and patches will not be installed. By comparison, subscription-based software/infrastructure requires an ongoing fee to be able to access and use the product. You can call with technical problems, but you can also call if you have a question about how to do something in ConnectCarolina or InfoPorte. There are several ways to submit help requests, but “Calling 962-HELP,” says Theresa Silsby, Director of the Business Systems Service Desk, “is by far the easiest and fastest way to resolve problems.”  You may notice a chat option, but Theresa doesn’t recommend using it for these types of questions since ConnectCarolina work sometimes contains sensitive information. Open Enrollment is right around the corner! As usual, you will complete your enrollment in ConnectCarolina through the Self Service > My Benefits tile, but this year you will see two new options under Benefits Enrollment: 1. State Enrollment Portal: You will use the State Enrollment Portal for health insurance, dental, vision, flexible spending accounts, and accident plans. 2. UNC System Enrollment Portal: You will use the UNC System Enrollment Portal for group term life, accidental death & dismemberment, cancer, and critical illness plans. Step-by-step instructions for using these portals will be available during the Open Enrollment period, October 10-28, 2022.

Hello System Office ARCs, We’d like to make you aware of a new form for requesting HR access called “Request for HR ConnectCarolina Access – UNC System Office.” This new form is specific to your needs in the System Office. Since many of your HR roles are specific to System Office functions and only System Office employees can have access to these functions, we have pulled those roles from the HR Central Office and HR Campus forms and combined them onto one form you can use when requesting HR access. You can find the new form on CCinfo.unc.edu under “Access Request Forms.” This form doesn’t change any of the processes already in place for requesting access, but we hope it will make your job as an ARC a bit easier. We’ve heard from those of you who submit and approve electronic Personnel Action Requests, ePARs for short, that you would like to be able to see the documents attached to an ePAR even after the ePAR has been fully completed (that is, the ePAR is in “Executed” status). Going to the Job Data or Add/Update Position links has been the only way to see those documents since ConnectCarolina Finance and HR went live in 2014, but not everyone who submits or approves ePARs has access to those links. Now, that’s changed. You can now see the documents attached to ePARs even after the ePAR is complete. They’ll still be available through the Job Data or Add/Update Position links, but you’ll have another way to access them. This improvement doesn’t change anything about how and when you attach documents to ePARs. When you’re attaching documents to ePARs, remember to not attach anything that contains sensitive information, such as social security numbers.

For pay dates that occur after October 1, 2017, you will notice a different appearance for your paystub. The payroll data in the improved paystub will be correct, although there will be some appearance differences on your paystub where your earnings, deductions, leave, etc. are displayed.

Good news for HR Reps. We’ve created a new Working with Payroll help document that provides not only a big picture overview of the processes but also includes payroll term definitions, an overview of the EHRA and SHRA payroll processes, links to payroll calendars and instructions for adding payroll dates to your personal Outlook calendar. The new help document also includes step-by-step directions for dealing with underpayments and overpayments.

The new Position Funding form will go live the evening of Thursday, Oct. 10. This new form will replace the current Fund Swap ePAR.   Increased Visibility of an Employee’s Funding  The new Position Funding form will show all of an employee’s positions and funding information on the same form. This new form will be especially helpful when making changes for research-funded employees whose effort and/or cost-share is considered across all positions.  Streamlined Approval Path  With the implementation of the new form on Oct. 10, the approval path will also change. Only budget approvers must approve this form; HR and Student approvers will no longer be part of the approval path.  Fund Swaps in Process  Fund swaps submitted on or before Oct. 10 will continue to route, be approved and post as normal and do not need to be resubmitted in the new Position Funding form. If you need to make updates to a fund swap that is not yet approved, you can still do that using the Evaluate an Epar link. If you manage financial information for sponsored projects, you can look forward to a new tool to help track and report financial information. The new Research Administration Management (RAM) Reports were developed through a partnership with the Office of Sponsored Research (OSR) and Information Technology Services (ITS). The information in the RAM reports is pulled directly from ConnectCarolina and RAMSeS and is one day behind ConnectCarolina. The RAM Reports offer campus and central offices the same view of financial data. Having one report to look at will improve transparency and streamline the processes involved in financial monitoring and reporting for contracts and grants. A few highlights of the RAM Reports: provides intuitive navigation, access to financial information at both the project and award levels, ability to drill into detailed transactions on all expenses, and reports are downloadable to Excel. The RAM Reports will be released to campus on April 7. For more information about the reports and a sneak peek, refer to the March 31, 2020 email from the Office of Sponsored Research.

There’s a new retroactive payroll distribution program launching for payrolls beginning with the B16 payroll (pay day February 12, 2021).  This program distributes retro pay, primarily retroactive salary changes, to the latest funding sources on record for that previous cycle and is intended to reduce the number of PAATs campus users need to submit. Please find more details below.  This info will be posted to CCINFO in the coming weeks. Retroactive Pay Distribution Process Currently when an employee receives retroactive pay in a payroll, the pay is distributed to the employee’s current funding sources. Due to this functionality department users need to submit PAAT actions after payroll distribution is complete to move the retro pay to the correct funding sources that were in place during the retroactive work period. We are implementing a custom program to be used during payroll distribution that will identify most retroactive payments and distribute the pay to the funding sources in place during the retroactive work period. The intent of this program is to: Reduce the number of PAAT actions needed when employees receive retroactive pay, like during the Annual Raise Process / Legislative Increase. A new set of reports for State funds will be available starting January 6th.  The reports will provide a snapshot to help with reconciling your accounts in InfoPorte. These reports are created right after Accounting Services closes a month and are delivered as PDF and Excel (CSV format) files. October and November are currently available, and December will be available once the month is officially closed. To view and download the reports, log into InfoPorte and follow this menu path: Finance > Monthly Reports > use the filters to find the reports for your department. Whether you look at a report right after a month is closed or several months later, the report does not change. Last summer, the Office of Human Resources (OHR) launched Carolina Talent Learning, which gave permanent employees the opportunity to manage LinkedIn Learning, Office of Human Resources, and the Equal Opportunity and Compliance Office learning opportunities. Beginning Friday, October 30, 2020, you’ll be able to grant access to someone by copying the permissions of another person in InfoPorte. To grant access by using the Copy User button, you’ll enter the name or PID of the person you’re copying in the Copy From User field and then click the green Copy User button. The system will display all of the copied roles in the permissions section on the right. As with all other InfoPorte access granted on this tab the permissions will be in place the following day.   Note: You can’t use this feature to grant access to Student functions, Root functions, or any functions that are for all UNCCH access.
