The Teleworking Request Form is now online. To find it, click the new HR eForms tile on the ConnectCarolina Self Service page. Teleworking is not a new concept at the University, but it’s one that is getting more attention as we navigate the work and life changes brought on by COVID-19. Moving the form online will simplify the process and save time. Three significant changes to the current process for submitting a Telework Request Form are: 1) you don’t have to fill out a paper form and several fields are auto-filled, 2) your form will route electronically to your supervisor and will appear on their HR Approvals tile. Your supervisor also receives an email letting them know that there is a form awaiting their approval, and 3) you will receive an email notification letting you know the decision of your request.
When you log in to ConnectCarolina, UNC email, or Campus VPN, you have to verify that “you’re you” with your mobile device or landline phone. Have you wondered if 2-Step Verification really keeps you safer? We’re here to tell you it does. From January through August of 2018 (before 2-Step), 363 accounts were compromised by phishing attacks. The same period of this year (after 2-Step), only three accounts were compromised. (Source: ITS Metrics Dashboard) According to Dennis Schmidt, Chief Information Security Officer, those three successful phishing attacks were “pretty sophisticated attacks. The phisher was waiting live and generated a push. The victim thought they’d logged in to a legitimate site.” Make no mistake, only three successful attacks this calendar year doesn’t mean the number of attempts has gone down. Schmidt recommends that “even with 2-Step, we shouldn’t be letting our guards down. If you think an email looks slightly suspicious, you should check it closer.” What should you look for in an email? On May 20, when students and staff logged in to ConnectCarolina, they found new home pages and a new way to get around in the system. Even the log in page was new and modern. The change to ConnectCarolina, dubbed the ConnectCarolina Makeover, was the culmination of months of work by the ConnectCarolina team to upgrade to the newest version of the software behind ConnectCarolina. The feedback we received immediately after the new look went live was that the makeover was well received. Janet Rupert, Director of Accounts Payable and Travel Services commented “We are running smoothly. Thank you so much for your time and energy in making this an easy transition.” Carol McDonnell, Associate Director at the Friday Center for Continuing Education, told the team “…Other navigation screens are definitely different (but better) for the tiles.” However, like most major software upgrades, it wasn’t without a few bumps in the road. Believe it or not, the HR/Payroll Reporting Dashboard has more than 30 queries for use by HR representatives, including the two new reports we told you about earlier this summer, Payroll Prelim Report and Payroll Wage Change report. That can be a lot of scrolling to find the report you need, and with the possibility of additional queries down the line, the ConnectCarolina HR team created a way to make it easier for you to quickly find the report you need without scrolling. The changes, which will appear later this month, include: Reports reorganized into functional categories such as Data Clean-up, Operations and, Payroll to name a few. See the screenshot below to get an idea of what reports would fall within each category. Reports are alphabetized within each category for quick access. Report categories can be displayed or hidden to keep your screen uncluttered. Kim Vassiliadis (Digital Services & User Experience) will present on these upcoming changes via a Zoom meeting on November 18 at 11AM. Please see the end of this message for the Zoom meeting details. What we are doing: We created a public Service Catalog. You will no longer need to log in to see the services available within help.unc.edu. We updated the service category labels based on user feedback and testing. Service information lives in two separate locations, Service Catalog on the ITS website and help.unc.edu. We have migrated all ITS-related services to help.unc.edu and will decommission the catalog information on the ITS website. Why we are doing this: We learned from pre-ServiceNow focus groups and interviews that our users relied on Google (or comparable search engines) to search for IT-related assistance. They typically just tacked “unc” to the end of their search. When we moved to ServiceNow, you needed to log in to view the available services. Do you reconcile transactions online in InfoPorte (that is, do you mark them with a checkmark in InfoPorte)? If the answer is yes, be sure to finish reconciling Fiscal Year 2018 before Wednesday, August 8, 2018. Testing shows that the changes coming to financial reports in InfoPorte this summer will cause some of the “Reconciled” checkmarks in InfoPorte to be lost. Scheduled Outage Making these report changes requires a complete outage of InfoPorte. We try to schedule outages when most people aren’t using the system. In this case, it will be the weekend of August 10 – August 13, from 5:00 pm Friday through Monday at 7:00 am. You won’t be able to access InfoPorte reports during this time. Helpful Tip: If you’re not able to wait until August to begin reconciling July’s transactions and you use the “Reconciled” checkmark in InfoPorte, you can export the transactions that you’ve reconciled to Excel. You’ll be able to see the Reconciled checkmark in Excel, so you can re-tag the transactions once the changes are in the system. Want More Information About What’s Changing? As of December 14, 2018 TIM Manager access in TIM has been expanded to include SHRA Exempt and EHRA Permanent leave accruing employees. TIM Managers are designated in the TIM Approver field in ConnectCarolina. Following the change to TIM Manager access, HR Representatives may need to update an employee’s TIM Approver field in ConnectCarolina with the correct manager. This sheet provides a quick reference for HR reps who may not be familiar with the process for viewing and updating the TIM Approver field.

Each year, the ConnectCarolina team sends a survey to everyone who uses ConnectCarolina and InfoPorte. We heard from many of you that you’d like more information on independent contractors, so we talked with Yamaris Fontanez, an Independent Contractor Reviewer in Accounts Payable, to get some tips. We’ll include additional tips in future newsletters, but to get you started, the next time you need to request an Independent Contractor, ask yourself these three questions: 1. Is the request for a domestic or foreign vendor? If the vendor is domestic, submit the request through ConnectCarolina. For foreign vendors, submit your documents to the independent contractor approver at ic_review@unc.edu. 2. Is a background check required? Typically, a background check is required and it’s valid for six months. However, the requirement is waived under certain circumstances. Independent Contractor policy information and answers to frequently asked questions. 3. Does the service fee exceed $10,000? If so, you’ll need to submit these additional documents: Independent Contractor Services Agreement and Statement of Work form Customer Request for a Brand/Vendor-Specific Waiver of Competition form. Does the thought of all that paperwork necessary to request a foreign vendor ID and to pay a foreign vendor leave you feeling stressed out? This presentation offers some practical “do’s” and “don’ts” with respect to setting up as well as paying foreign vendors. There will be a brief overview of the required documents. We will also discuss some of the common issues which frequently arise when trying to set up or pay a foreign vendor. Departmental representatives, such as accounting technicians and managers, who are tasked with setting up and/or paying foreign vendors will find this session useful. Those who are new to foreign vendors may benefit from this session by learning some recommended best practices thus developing good habits early on. More experienced staff may develop a deeper understanding of the processes and procedures surrounding setting up and paying foreign vendors. As you’ve probably heard, the budget ledger groups in ConnectCarolina are being simplified beginning July 1. While most of the changes are behind-the-scenes, here are the top 10 changes you may notice if you do budgeting, create budget journals or run reports in ConnectCarolina or InfoPorte: State, F&A, and Trust are being combined into the new “FAST” ledger groups. There will be the FAST expense ledger group, the FAST_PAR parent expense ledger group, and the FAST_REV revenue ledger group. You will choose the fund type, instead of the ledger, when running reports in InfoPorte. Even if you are pulling data for the old ledger groups, you will choose fund type. Only State and F&A transactions will be recorded in the FAST_PAR parent ledger, even though State, F&A, and Trust will be combined into the FAST and FAST_REV ledger groups. State fund codes will roll up to the FAST_PAR parent ledger. For example, starting July 1, 2017, if you enter a transaction using fund 20101, the transaction will roll up to 20100 for budget checking. Once these are completed, a requisition is created, which generates a Purchase Order. The Purchase Order is sent to the supplier(s) to fulfill. The transfer happens seamlessly when the shopper has an active ConnectCarolina authentication and clicks the “Transfer Cart” button from the BuyCarolina shopping cart. If your order does not transfer to ConnectCarolina, the order has not been created or submitted to the supplier for fulfillment. Shopping Best Practices Ensure you are logged into a newly authenticated session. Close all browser windows and log back into ConnectCarolina and BuyCarolina. ConnectCarolina sessions will expire after 60 minutes of inactivity. A pop-up window is presented to stay connected. If no action is taken, the session is expired. BuyCarolina shopping carts will not transfer to ConnectCarolina, and the order is not placed. Transfer vs. Terminations Transfers_vs_Terminations_20201104 Knowing when to transfer an employee versus when to terminate an employee is an important distinction in ConnectCarolina with pay, benefits, and potential compliance implications. Transfer: If an employee is moving from one job/position to another within the same department or to a new department without a break in service, the receiving department should submit a Transfer action via the Hire an Employee ePAR. Things to keep in mind with transfers: If the employee should be paid out leave, enter the Applied Termination Codes into TIM based on the effective date of the transfer and based on deadlines on the Payroll calendar. TIM information is fed over in real time so closely monitor leave accruals and leave payouts. If the employee is moving from SHRA to EHRA OR from EHRA to SHRA, both departments should closely monitor employee pay and information in TIM and submit a Service Request for any needed pay corrections when reviewing preliminary payroll. The receiving department HR Rep should first double check the end dates for the employee in the current (or exiting) department before submitting the hire/transfer ePAR. We have exciting things happening behind the scenes right now in ConnectCarolina. Soon, when you log in to ConnectCarolina, you’ll notice a new look and feel. The changes will be noticeable to anyone (except faculty who already have a new look and feel in the Faculty Portal) even if you only log in to see information such as your paycheck. This December, the Finance component of ConnectCarolina is joining Student Administration and HR/Payroll by moving to an upgraded software version. Like the Student Administration and HR/Payroll upgrades, much of the Finance upgrade is made up of behind-the-scenes changes such as for security and accessibility. We’ll have more specific information to share with you in the coming months about the changes for both the new look and the Finance upgrade, so be on the lookout.
Over the last several months, over 1,600 faculty members started using the new Faculty Portal in ConnectCarolina. The Faculty Portal is a new home page that makes it easier to find teaching and research information. Those with Faculty Portal access are able to enter grades into ConnectCarolina with just two clicks. Since their teaching schedule is on the first page they see when they log in, they can click the course code and then click the grade roster, where they can enter the grades. Even better than “two clicks” is that the grade roster works the same as it did before, so if they prefer to upload grades from a spreadsheet, they can click the Grade Upload Page link. For more instructions on how to enter or upload grades, check out the Document Repository on the Registrar’s website.
To: Everyone Who Works with Purchase Requisitions or Vouchers in ConnectCarolina From: Martha Pendergrass, Director of Procurement Services Subject: Two Improvements to Purchasing and Payments (CORRECTED) Category Codes Reduced by 95% If you enter purchase requisitions or vouchers, you know that you need to enter a category code (also called “commodity code”) for each item you are buying or paying for. These categories are important because they help the University track spending and negotiate better prices, but currently the list is long, so it is difficult to navigate. Starting Monday evening, May 1, choosing a category will get easier. The number of categories is being reduced from approximately 55,000 to around 850. The category codes that start with “UNC” or “EHS” will stay the same, but the rest of the categories will be rolled up to a higher level (the one that ends in “0000”). For example, instead of choosing 44121702 for Pen or Pencil Sets, you’ll 44120000 for Office Supplies. If you’ve created “cheat sheets” for yourself or your team, you’ll need to review them and translate them to the new, higher-level category codes. There will be two separate outages on Thursday, November 16th in the early morning and again in the evening. The first outage impacts the Student Administration (Campus Solutions) portion of ConnectCarolina from 6:00 AM to 8:00 AM. This brief outage is to make a database change recommended by Oracle to address performance issues. Impacted Services: Campus Solutions, CS Cybermation job stream, HCM ePAR forms, Finance campus vendor, Guest ID creation, Onyen and Guest ID password resets, Hospital load, Affiliate Request and Friday Center PID create. The evening outage involves InfoPorte. There will be a brief outage of InfoPorte this Thursday evening from 6:00 PM to 9:00 PM to upgrade InfoPorte to release 7.1. The InfoPorte team is preparing for and performing a hardware migration for InfoPorte. This improvement will increase the university’s capacity for data growth. The migration will interrupt InfoPorte services twice. InfoPorte will be unavailable: Friday, February 22 from 5:30 pm to 9:00 pm. Wednesday, February 27 from 5:30 pm until midnight. During these times, you will not be able to access Infoporte and any SAS reports via Infoporte. Thank you for your patience and understanding as we work to keep university’s systems and data running smoothly while looking ahead to future challenges.
