Remember to log in to ConnectCarolina between November 2 and November 19 to make your benefits selections. Two things to keep in mind: 1) If you take no action and are currently enrolled in an 80/20 medical plan, you will default into the 70/30 plan and won’t get the smoking attestation discount. 2) You need to choose your flexible spending account elections (Health Care Flexible Spending Account or Dependent Day Care Flexible Spending Account) each year. Have you ever seen a different number on an invoice to a sponsor than you see in the OSR Ledger Rollup?  Have you been unable to find charges on reports that you expected to see?  By summer, numbers will match and charges will appear when you expect them to. You may have heard that our financial reports pull numbers from two main sources: the General Ledger (GL) Actuals ledger and the Commitment Control (or “KK”) ledgers.  The GL Actuals Ledger tracks the amounts we have actually spent and received.  The KK ledgers track our budget balances and the commitments we’ve made against our budgets. They also contain details about the purchase requests, vouchers, and other transactions that have been processed, so that’s why they’re a useful place to get reporting information. Soon: All Actuals Will Come From the GL Pulling financial information from the KK ledgers in addition to the GL Actuals ledger has caused confusion and added complexity to our reporting.  The good news is that a project is underway that, once complete, will ensure that all reports take their “actuals” (that is, what is recorded in the book of record)  from the General Ledger.  Only budget-related data, such as … Read more

BuyCarolina went live on August 17 and we decided to check in with some of you who used the tool to make purchases as well as the Business Systems Help Desk to find out how it’s going. Here’s what we found out. What We Heard I like comparing prices and having fewer purchase requisitions- instead of 5 individual purchase requisitions, it’s nice to process and approve just one. Robin Council, Accountant, School of Law I find myself explaining to users that the ConnectCarolina aspect of things hasn’t changed. The only change has been how the catalog looks and the way you maneuver. I usually describe it as a ‘Retail Shopping experience”; You get a cart, place items in this cart, wait in line (the transfer out process of BuyCarolina ), then place the credit card in the machine for purchasing (ConnectCarolina requisition process) so you can leave with the product. If part of your job includes using ePro to purchase supplies for your department, you can look forward to the introduction of an enhanced purchasing solution that will bring significant improvements to your buying process. Are you responsible for reviewing the charges that have gone to your department’s suspense account? Then maybe you’ve noticed the Current Suspense Charges report has a better look and feel. The changes to the report were made, in large part, because you asked for them. For example, in response to campus feedback, the current suspense amount is now shown in separate columns for Earnings, Deductions and Taxes so that you can clearly identify the payroll charges outstanding on suspense. Additionally, a new Fiscal Year filter on the Department and School reports lets you see outstanding suspense charges for a specific year or leave it blank to see suspense on all years. With the addition of this new filter, you can focus on clearing the current fiscal year suspense charges and potentially decrease the number of PAAT (Payroll Accounting Adjustment Tool) actions on old suspense (anything before fiscal year 2018)

 Last month we promised you more information about a new tile-based design for ConnectCarolina. Here’s the latest information we can share. First of all, it’s important to know you will still have access to everything you have now, your favorites will still be there and the updated look reduces accessibility barriers that make it difficult for many people with disabilities to use ConnectCarolina. For students, it also means it will be easier on the eyes when they’re using ConnectCarolina on their phones. Want to know more? The design is evolving, but we’ll give you info as decisions are made and work in ConnectCarolina progresses. How Do You Use ConnectCarolina? The reason we can’t paint a complete picture is that we’re still out there talking to ConnectCarolina users across campus. We’re talking to students who use ConnectCarolina to register for classes and check grades.
