You are receiving this message because you have access to the Payroll Accounting Adjustment Tool (PAAT) in ConnectCarolina. We are sending this message to let you know about enhancements to PAAT. Beginning on Thursday, January 31 after 7:00p.m., the following changes will be in place for PAAT: There is a new Pending GL status on the Pay Periods selection page. When you see this status, you won’t be able to select the paycheck for an adjustment. As soon as the original distribution of the paycheck has been sent to the General Ledger, the status will change to blank, allowing you to select the paycheck for an adjustment. Currently, if an employee is on disability, you can’t see the employee at all in PAAT. Going forward, you’ll be able to see the employee and pay periods in which the employee wasn’t on disability. Pay periods in which the employee was on disability still won’t show in PAAT. If you believe an adjustment needs to be made to a pay period you can’t see, you’ll need to submit a help request. ConnectCarolina PAAT Administrators will now be able to recycle fully-approved PAAT transactions if an error is found and the action can be caught in time before the PAAT distribution. … Read more

Upgrading the software requires a ConnectCarolina outage. The outage for the Finance and HR/Payroll applications begins at NOON on Friday, December 7. InfoPorte and SAS Visual Analytics reports will be available during the outage weekend with data current as of Thursday, December 6th. Many of the changes coming with the upgrade of ConnectCarolina Finance are behind-the-scenes, but there are a few are new features and changes to the way the pages look. Among the most significant changes are an expanded Finance WorkCenter, different field labels in purchasing, a new layout for the Campus Voucher page, and new features for Budgets. More Links in the Finance WorkCenter If you haven’t used the Finance WorkCenter, give it a try. The WorkCenter lets you move quickly between menu options, and with the upgrade, it will have even more of the links you use most, all in one location.  To find it, click the Finance button on the left side of the home page, and then you’ll see Finance WorkCenter as the first option. At the top of the WorkCenter is a folder with the most commonly used pages. Hello, We are sending this message as a reminder about changes to pages you may have access to in ConnectCarolina. Please read this information carefully as some of the information has changed from the previous email. Information Technology Enterprise Applications takes its responsibility for securing our employees’ sensitive information (including social security numbers) very seriously. The changes we are making this week will tighten security by limiting the number of places where a social security number (SSN) is displayed and reducing the number of individuals who can see them. To secure this information, many organizations have already abandoned processes that require the use of social security number. Even Medicare is removing the SSN from Medicare insurance cards. Beginning on Thursday, October 11 after 5:00pm, the following changes will be in place: Only central administrative office staff in the Registrar’s Office, Admissions, Financial Aid, Student Financial, and the PID Office will be able to see the information in the National ID/SSN field on any Student Administration pages in ConnectCarolina. If you have been using the SSN as an identifier, please work with your manager to determine other identifiers that are less sensitive. When entering a Fund Swap ePAR, the first page “Step 1 of 3” includes fields for Begin Date and End Effdt.  These two fields should be left blank!   By leaving them blank, the fund swap can populate all of the existing funding grids for that fiscal year for the requested position or appointment.  You can then insert your new funding grid as needed – usually at the top of the grids, but sometimes in-between existing dates such as for retroactive stipend amount changes. Having the historical information displayed on the fund swaps helps: Confirm the correct position/appointment, department, and employee record number record were chosen.  For example,  if there are no historical grids on your fund swap, then perhaps the combination of position/department or appointment/department/ER# entered is incorrect. Confirm the correct employee group was chosen on the first page.  There are different account numbers for different employee groups, so if you get an error message when submitting it may be a result of a mis-matched account/group.  Having the historical grid and accounts may give you a hint as to what current employee group is assigned for that position or appointment.  Here’s a link to the most commonly used personnel codes … Read more

The good news is that with safety measures in place and far-reaching access to COVID-19 vaccines, the University is planning for a return to in-person, on-campus instruction. Now that we’re back on campus, the ConnectCarolina team, in support of the Registrar’s Office, managed the data collection and coding for class schedules, course details and more to make it easier for faculty to add class information and for students to make scheduling decisions. Modes of instruction Unlike the past year, the default mode — the way a class is delivered — is “In-person” for Fall 2021. A department or school can request an exception to deliver a class remotely or to use a combination of in-person and online. If you’re an Access Request Coordinator (ARC), you may experience a sense of dread when you receive an access request form for an employee that requires access to more than one area or system because you know that it means an individual request for each system. Many of you have mentioned that you’d like to be able to submit one request in the Access Request Tool for multiple systems and let the system decide how to route them. New! Main Request & Sub-Requests We have good news for you. Later this summer, we’ll be rolling out a revamped Access Request Tool that will let you submit one request even if the employee needs access to Finance, HR/Payroll, and Student Admin pages. You’ll submit one electronic request, called the main request, and the system will create sub-requests that each go through their separate approval process. Each piece of access will be granted individually, so employees who need access won’t have to wait for all access to be approved before they receive any access. In August, the timing and method of some student award payments were changed to ensure the University remains compliant with federal and state regulations. Following that successful launch, the team is working on Phase 2, which includes: 1.    More Efficient Way to Request Increases to Cost of Attendance In some cases when a student receives a new award, the student’s cost of Attendance (COA) can be increased and that means the new award doesn’t affect the student’s other financial aid. Currently, to request an increase, the awarding department emails the Office of Scholarships and Financial Aid who manually adjusts the student’s COA if appropriate. Starting later this year, departments will be able to request a COA increase online and, if appropriate, the request will automatically increase the COA in the Financial Aid system. 2.    Capturing Non-Monetary Awards and Pre-Paid Awards Students may be given non-monetary awards, such as computers and supplies, or pre-paid awards like gift cards. These should be considered financial aid but currently aren’t. The system will soon allow departments to enter this information and report it to Financial Aid. 3.    Down the Road: Enhanced Reporting Because all departmental student awards are now moving through the same process, it’s a good opportunity to enhance reporting for schools, … Read more

They started by asking for feedback from campus users, central offices, ARCs, and others so they could understand the pain points and used that feedback to identify requirements and set priorities for changes to the current process and tools. Be on the lookout later this month for two new tiles on your Self Service home page. The HR eForms tile will appear for all active employees and the HR Approvals tile will appear for all active employees plus affiliates and contingent workers just in case they need to be part of an approval chain. Going forward, these tiles will be the home for some HR forms that are changing from paper to electronic versions. Moving the submission and approval process for HR forms online will save time, simplify the approval process and help managers, supervisors and central office staff stay on-top-of any approval actions that require their attention. At first the only HR eForm you’ll see is the Telework Request Form, but we’re working with other groups on campus to identify HR forms that are good candidates to move to an online process. Teleworking is not a new concept at the University, but it’s one that is getting more attention as we navigate the work and life changes brought on by COVID-19. In some cases, approvers have been able to approve the same ePAR multiple times, which can result in an action executing more than once or cause the ePAR to stop in workflow. To avoid potential problems: Open one ePAR at a time to review for approval (per browser). Once approved, close the browser tab and select another ePAR from the worklist or, if you are unable to approve the ePAR for any reason, simply close the browser tab and move to another ePAR from the Worklist. The new InfoPorte 7.0 release includes enhancements and bug fixes for Cores, finance and HR InfoPorte users. These changes will be available on Saturday, May 13, 2017. After 5:00pm on Thursday, November 1, these changes will be in place: The report will pull information from the same source as other Finance SAS reports instead of from the Finance DataMart, which is being decommissioned. The report will look a bit different. You will still access the report by going to Finance > Financial Reporting > Cash/Bal tab, but when the report starts, you’ll see that it is a SAS Visual Analytics report. The filters will work a little differently. In the updated report, all searches will be like a “contains” search, which means that if you type part of the information you’re looking for, all results that include what you typed will be returned (see the screenshot below). In these budget-conscious times, getting the best deal on purchases for your department is more important than ever. If you currently use ePro to make purchases for your department, you’ll soon be introduced to a new tool called BuyCarolina. It’s a lot like ePro but with some cool functionality that benefits you and the University. The major difference between the two systems is that instead of shopping each catalog one by one, with BuyCarolina, you can search for a product across multiple catalogs at a time for the majority of suppliers. You can compare the pricing from different suppliers before you add an item to your shopping cart. You’ll also be able to add items from multiple suppliers to your cart instead of buying from each supplier separately. It’s like a shopping mall with BuyCarolina as your personal shopper. Things That Aren’t Changing The good news is not everything is changing; you don’t have to learn a whole new system. The beginning and the end of your ordering process isn’t changing. This is a quick reminder that, in this unique and unprecedented year, the Fiscal Year-End dates are different compared to previous years. Friday, May 29 marks the approval deadline for several key financial transactions, including all voucher and requisition entry. These need to be complete by 5 p.m., May 29 – no exceptions. You can enter campus vouchers after May 29, but they will be held and processed after July in fiscal year 2020-2021. In addition, be sure to check daily to make sure vouchers, travel reimbursements and journal entries are through your department’s workflow and are free of errors. The complete list of important fiscal year end deadlines for May and June is available in the memo you received on April 28. You can find the memo and the fiscal year-end checklist on the Month-End and Year-End Resources page in the featured resources section of ccinfo.unc.edu. Please remember to set a reminder for the Friday, May 29 fiscal-year-end deadlines.
