If you use any part of ConnectCarolina except SelfService, then starting May 23, you’ll be required to use 2-Step/Duo to access ConnectCarolina. That means if you enter grades, submit ePARs, conduct performance evaluations, buy from the vendor catalogs, or any other transaction beyond those on the SelfService menu, you’ll need to verify with 2-Step/Duo to get in to ConnectCarolina. ConnectCarolina keeps moving forward!  The ConnectCarolina HR/Payroll system is moving to an upgraded software version in March. You may remember that the Student Administration application made the move in October, 2017, and the Finance upgrade will likely occur before the end of 2018. There are important security, accessibility and functional reasons for the upgrade but the look of the screens will be very similar to what you see now. You need to know… ConnectCarolina Outage:  Friday, March 2, 5:00 pm until Monday, March 5, 7:00 am During the weekend transition, all ConnectCarolina systems will be unavailable.  Listing all of the specific system impacts here would require you to scroll (a lot). Your best bet for all things related to the HR/Payroll upgrade is to visit the HR/Payroll Upgrade page on CCinfo. You cannot access W-2 forms during the outage.  We realize that the ConnectCarolina outage occurs during tax preparation season so if you need the online version of your W-2 or your paystubs, please download them before 5:00 pm on Friday, March 2. This is a quick reminder that, in this unique and unprecedented year, the Fiscal Year-End dates are different compared to previous years. Friday, May 29 marks the approval deadline for several key financial transactions, including all voucher and requisition entry. These need to be complete by 5 p.m., May 29 – no exceptions. You can enter campus vouchers after May 29, but they will be held and processed after July in fiscal year 2020-2021. In addition, be sure to check daily to make sure vouchers, travel reimbursements and journal entries are through your department’s workflow and are free of errors. The complete list of important fiscal year end deadlines for May and June is available in the memo you received on April 28. You can find the memo and the fiscal year-end checklist on the Month-End and Year-End Resources page in the featured resources section of ccinfo.unc.edu. Please remember to set a reminder for the Friday, May 29 fiscal-year-end deadlines.

In April 2019, roughly 500 IT professional employees were given the option to change their employment status from SHRA to EHRA.  This was the result of the North Carolina General Assembly expanding the exemptions under the North Carolina Human Resources Act to include University information technology professional positions. The University sought this option so that it could have more flexibility with compensation and leave issues in a highly competitive IT labor market. Final Selection Period is June 30 – August 13, 2021 Eligible employees were given three years to decide if they wanted to convert to EHRA status, and we are currently in the final election period which ends on August 13. Employees who are eligible to convert see an SHRA to EHRA IT Conversion tile on their ConnectCarolina Self-Service home page. Work on turning off or transitioning legacy systems for HR/Payroll and Finance is drawing to a close. Work on legacy HR/Payroll systems concluded in December, and only a few details remain to be addressed for legacy Finance systems. Last Friday the original versions of ePrint and Finan$eer were turned off. They were left up and running into January to ease the transition to the new versions. Two action items necessary for being able to shut down Finance Central were recently completed: Fund authorities from FRS are now available in ConnectCarolina for those who have access to the Source Create option, and Notes from FRS budget transactions were made available to the Budget Office as a report. If you need budget notes, contact the Budget Office. FRS and legacy Payroll are still up and running but will be taken down when the mainframe computer is taken down, currently targeted for February 29, 2016. Employees who have  access to enter student payments in Accounts Payable (AP) were invited to a Changes to Student Award Payments for Voucher Preparers webinar to learn more about the changes being made to student payments.  When UNC-matriculated students receive payment for their academic benefit, it is considered financial aid. Therefore, beginning August 2, all student financial aid must only be entered through GradStar ONLY. When is it OK to use a voucher for a student payment? There are still instances when a student payment is a) not for work performed or b) for the student’s direct academic benefit, and can be paid with a voucher, including the following: The payment is an award or prize for a contest open to the public or to faculty and staff (not just for students). You are reimbursing or prepaying for work on behalf of the University. You are reimbursing the student for travel on behalf of the University (primarily benefiting the University, not the student). The comment that we hear most frequently on the ConnectCarolina and InfoPorte annual survey is that ConnectCarolina is challenging to navigate. Now that we are using the newest version of PeopleSoft (the software that is the foundation for ConnectCarolina), we can take advantage of a new look and feel that makes getting around in ConnectCarolina easier. “Tiles” Allow You to Quickly Access Pages from Your Home Screen The new navigation relies less on the menu and more on “tiles,” similar to the icons on your iPhone or Android phone. You can think of the tiles as buttons that let you quickly get to the options you need right from your home page. Depending on how much work you do in ConnectCarolina, you may even have more than one home page that you can switch between (one for HR work and one for Student Administration work, for example). The ConnectCarolina team is hard at work designing the new look and feel, and we’re going to ask for your input. We’ll be holding focus groups and testing sessions, and we’ll even use this newsletter to reach out to you for your thoughts. So keep an eye out in the coming months for opportunities for input.

Finding your W-2 tax form in ConnectCarolina only takes a few clicks, so it’s not surprising that more than 10,000 University employees opted out of printed W-2s for the 2019 tax year. Read on for a  few ConnectCarolina tips to help you prepare your taxes. 2019 W-2 Available Your tax year 2019 Form W-2 is now available from the ConnectCarolina Self-Service menu. If you need step-by-step instructions for finding and printing W-2 forms, go to the Online Employee Tax Forms page. Self Service W-4 and NC-4 Online and Available Do you need to change your withholding? If so, you can get the latest versions of the W-4 and NC-4 tax forms in ConnectCarolina—they’ve been updated to reflect recent IRS changes. “Making the Connections” was not just the theme of the 2018 ConnectCarolina User Conference, it proved to be the aspect participants found most meaningful. Thursday, October 18, nearly 700 participants, speakers, volunteers, and vendors spent the day sharing information with and learning from each other at the second ConnectCarolina User Conference. Survey results show an overwhelming majority – more than 90% – want to attend the next conference.   Participants also mentioned learning about ConnectCarolina best practices and Chief Information Security Officer Dennis Schmidt’s keynote address, Data Security, Why We Need to Protect UNC’s Information as meaningful aspects of the conference. One participant said, “It was extremely eye-opening. I used to think the 2-step was an inconvenience but now I understand the ‘why’ behind the ‘what.’”   Session Recordings The conference registration filled in 26 hours but, for those who could not attend, we have good news! Many sessions were recorded using the new conferencing tool, Zoom, and are being uploaded to ccinfo.unc.edu/session recordings.
